The lowest restaurant furniture quote is only meaningful when it covers the same products and services as the alternatives. First normalize the scope. Then compare the total, unresolved items, delivery commitments and support.

Use one version of your furniture brief for every supplier. If you change quantities or finishes, issue the revision to everyone before choosing a quote.

Match the products line by line

Give each requested item a reference. Include model or required specification, dimensions, quantity, material, color and any approved alternative.

Check whether each response includes a complete table or only a top or base. For booths, verify whether the price includes upholstery, trim, attachments and installation. For chairs, confirm whether assembly or specific glides are included.

Label substitutions. A different frame or upholstery can be a valid alternative, but it should not disappear inside a cheaper total.

Use a comparison sheet with explicit unknowns

Do not enter zero for a blank line. Zero means the service is genuinely free or excluded by an explicit decision, not that someone forgot to quote it.

Shipping also needs a description. FedEx's LTL service information is a starting point for understanding freight options; the supplier must confirm what its particular freight charge buys.

Compare totals without disguising estimates

Consider this hypothetical comparison, not a market-price benchmark:

  • Quote A: furniture $8,000, freight $900, assembly excluded.
  • Quote B: furniture $8,400, freight $600, assembly $500.
  • A separate comparable assembly estimate for A: $700.

A's comparable subtotal becomes $9,600; B's is $9,500. Both still need taxes and any other project-specific charges. The lower furniture line did not produce the lower comparable subtotal.

Keep quoted amounts distinct from your own allowances. A total containing an estimate should remain labeled an estimate until the missing service is confirmed.

Examine the dates behind the price

Ask when the offer expires, what starts production and which approvals are outstanding. “Available” may refer to a standard frame, not your chosen upholstery.

Separate a proposed ship date from an arrival commitment and an installation date. Confirm whether partial deliveries are acceptable and whether they add freight or receiving work.

If one option cannot meet the required window, do not treat it as fully equivalent simply because its price is lower. Ask for a confirmed alternative specification and compare that separately.

Compare support and exceptions

Read warranty coverage for the exact product and commercial use. Identify who handles claims, what evidence is needed and whether labor or transport is excluded. EMU's commercial warranty illustrates that coverage and remedies have conditions; it is not the policy of every supplier.

Ask about cancellation, returns, custom finishes, replacement parts and later reorders. Have material contract terms reviewed appropriately before commitment. This worksheet is a purchasing aid, not legal advice about your contract.

Send one clarification request

List unresolved items by quote line rather than sending scattered emails. For example: “Please confirm whether line T2 includes the base, the quoted finish code and installation. Freight must cover the stated receiving conditions.”

Keep the revised quote, specification and date together. Once the comparison is complete, record your choice and its reasons: confirmed fit, service scope, timing and comparable cost.

The quote-brief step helps consolidate the scope. It does not create supplier pricing or send an inquiry unless delivery is configured and you explicitly submit it.
